2013 Annual Picnic Notes

This notes page is intended to provide thoughts about the 2013 Annual Picnic to help the planning for next year, and to make 2014 even better.  All volunteers, attendees and GMCA neighbors are encourage to send ideas for this page directly or via the Contact GMCA page.  It's a team effort.

Schedule:  The picnic was held on Sunday September 8 from 3;00 PM to 6:00 PM.  

The picnic has historically been held on Saturday.  Because of various sceduling conflcts it was moved to Sunday.  The attendance was down some.  This could be attributed to the Sunday schedule, the first day of the NFL Sunday schedule, church, or ?.

Facility:  Foothills park, reserved in advance.  The park includes a picnic shelter with three picnic tables.

Turnout:  

Table, chairs:  10 tables with 8 chairs each were provided by  ____________________

Carl:  Tables and chairs were perfect.  Just the right number, I believe.  Paying for this service is a good idea.

Tents:  There were volunteer tent tops provided for

Food and Drink:  Provided by...  "Catering was provided by Stellar Catering, Jeff Ehlers, owner and a resident in our neighborhood.  Food was great once again and they provided plates, napkins, utensils, drinks (water, tea and lemonade).  Also bite-sized desserts.  They took the left-over food back to the catering kitchen, transferred it to aluminum pans and refrigerated it.  I picked it up and took it to The Action Center for use at the shelter."  ...Carl

Menu incuded pulled chicken and pork, barbeque sauce, barbeque bean combination, slaw, fruit.

Outhouse:   Not there this year.

Bounce House:  Provided by _________________  for a fee of _____________.

Carl, Larry and Dave W spelled Dave M in supervising.  

Because of liablity concerns, the bounce house was closely supervised.  In general, we tried to limit the number of kids in the bounce house to about 5.  More importantly, the size of the kids was watched dividing the kids in to little and big groups.  At the height of use, 10 minute sessions were clocked to switch sizes. 

Carl: Bouncing house was great with the supervision that we provided.  Dave did a great job.  I did one shift while he ate.

Musical Entertainment:  Gene Morris as arranged through Christine [email protected].

Dave M: "Gene provide all of his equipment including power and speakers.  Excellent music under a GMCA provided tent top.  It would be interesting to get suggestions from Gene regardnig generating more participation in the music.  The lower than expected turnout, and maybe the location of the tent were matters that might be up for discussion in making the most of our entertainment."  

Carl: "Music was great.  Next year, let's set it up closer to the eating area, maybe up the hill (South) unless power is the issue.  Let's ask Gene ahead of time to get his input."

Door Prize:   2013 was a 36" (I think) flat screen TV

Fire Truck:

Carl: "The two fire trucks were fantastic.  I, and a lot of kids and some parents, learned a great deal.  The kids were really interested and did not lose interest.  The firemen explained everything very well at a level the kids (and adults) could understand."

Added Note:  
Carl: "Thanks to Allison, Diane, Larry and Lee for all your coordinating efforts and work.  The picnic was a great success, I believe.  Everyone I spoke to thought it was great and appreciated it."
